Office and Customer Support Administrator

OncoHost is a technology company headquartered in Binyamina, Israel, and Cary, North Carolina, transforming the approach to precision medicine for improved patient outcomes. We are seeking an Office and Customer Support Administrator to join our team in Cary, North Carolina. This is a full-time, on-site position with benefits including health and dental. This role reports directly to the Chief Commercial Officer (CCO).

This position plays a crucial role in supporting our sales, customer service, and operations teams by managing vital administrative tasks, providing Salesforce support, and assisting in event coordination. The chosen candidate will contribute significantly to ensuring seamless operations and excellent service for our internal teams and clients. Preferred working hours for this role are 11:00 am to 7:00 pm.

 

Duties and Responsibilities:

Sales Support

  • Provide administrative support for commercial activities such as virtual programs, advisory boards, and dinner events, including:
  • ~Tracking and monitoring contract signings.
  • ~Coordinating necessary staffing & supplies for commercial events.
  • ~Tracking and submitting for signature, customer contracts and payments.
  • Supporting marketing efforts through customer outreach:
  • ~Sending personalized notes.
  • ~Targeted email and postcard campaigns.

 

Office and Insurance Claims Management

  • Coordinate and manage daily office operations, including ordering office supplies, materials, and any required equipment.
  • Answer phone calls, greet visitors, and assist HR in preparing documents for local corporate F2F meetings.
  • Download, upload, and help track the status of insurance claim documents.

 

Customer Service (CS) Support

  • Act as a backup for CS team members during their vacations or absences.
  • Cover West Coast hours to help reduce extended hours for CS team members.
  • Manage lab shipments, including coordinating Friday afternoon kit dispatches from the lab.

 

Salesforce Administration and Support

  • Provide organizational support and cleanup in Salesforce for the sales team, including:
  • ~Properly assigning clinics and associating staff.
  • ~Updating and verifying accuracy of all contact information.
  • ~Removing duplicate accounts and ensuring correct clinic information.
  • Generate Salesforce reports when requested.
  • Provide portal access support and troubleshoot portal issues for office staff.

 

Qualifications/Requirements:

  • Minimum of 2-3 years of experience in an administrative or support role, preferably in a healthcare, biotech, or technology environment.
  • Highschool diploma or equivalent required; associate's or bachelor’s degree in business administration, healthcare administration, or a related field is a plus.
  • Strong attention to detail, with the ability to manage multiple tasks, prioritize, and follow up on open tasks efficiently.
  • Excellent verbal and written communication skills for engaging with both internal teams and external partners.
  • Previous experience in customer service or support, with a focus on empathy and problem-solving.
  • Salesforce experience is a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with online meeting platforms like Zoom or Microsoft Teams.
